When an executive relocates, the pressure lands on the person coordinating it. That is you. The CEO needs to be in Miami, operational, and settled, and the timeline is rarely as generous as it should be. One missed document, one unconfirmed elevator reservation, one vendor who did not get the memo, and move day unravels fast. This executive moving checklist by W Moving for Miami is built for PAs and executive assistants who need to get it right the first time.

Eight Weeks Before the Move: Lay the Groundwork

This is where most relocations either succeed or get set up to fail. Do not wait.

  • Confirm the destination building and request the move-in packet from property management immediately
  • Select a moving company with verified experience in Miami luxury high-rises, not just general moving credentials
  • Identify items requiring specialty handling: art, wine, antiques, and custom furniture need to be assessed in person before packing begins
  • Begin utility transfers: electricity, internet, and any smart home systems that need pre-configuration
  • Confirm whether the executive's current building has move-out protocols that require their own documentation and approval process

Six Weeks Out: Get the Documentation Right

This is the stage where things go wrong if you are not paying attention.

The building will require a Certificate of Insurance from the moving company. It needs to name the building, the HOA, and the property management company as additional insured parties. Not just certificate holders. Many of Miami's luxury buildings also require an endorsement page confirming that status, and several now require a minimum of $2,000,000 per occurrence general liability coverage.

Submit the move-in application as early as the building allows. Elevator windows fill quickly. Move-in slots around the first and fifteenth of the month go first. Do not assume availability exists because the calendar looks open.

If the unit needs any contractor work or punch-list completion before move-in, schedule that access window separately. Running a construction crew and a moving crew in the same unit on the same day in a building with strict protocols is a problem you do not want to solve in real time.

Four Weeks Out: Lock Everything Down

  • Submit the mover's COI to property management and confirm receipt in writing
  • Confirm the elevator reservation and get the confirmation document
  • Verify truck size restrictions and loading dock protocols with the building. Miami Beach and Brickell have real constraints on vehicle access
  • Arrange a pre-move walkthrough of the new unit and photograph every room and surface before anything is brought in
  • Confirm specialty vendors: art handlers, wine movers, piano movers, and any other service operating independently from the primary moving company
  • If the executive requires discretion, confirm that NDAs are signed by all crew members before the first site visit

Two Weeks Out: Final Checks

Reconfirm every vendor. We can't guarantee the booking from six weeks ago without a check-in closer to the date.

Build a high-value inventory list with photographs and estimated values for anything significant. Share a copy with the insurance broker. If there is any gap between move-out and move-in, arrange climate-controlled storage. In Miami's heat and humidity, standard storage is not appropriate for fine art, antiques, or wine.

Confirm building access credentials: key fobs, parking access cards, and any codes vendors will need on move day. Brief everyone on the point of contact inside the building so no one calls the wrong person when something needs resolving quickly.

Move-In Day: What a Clean Operation Looks Like

The moving crew arrives with elevator padding already staged. Floor protection is deployed before anything enters the unit. The foreman has the COI confirmation and elevator reservation in hand before the truck is unloaded.

Everything moves through the service elevator. No exceptions. Specialty items move under direct supervision. The crew does not use passenger elevators, prop open lobby doors, or park anywhere that was not pre-arranged with the building.

At the end of the day, padding comes down, common areas are inspected and left clean, and the foreman checks out with building management. Any issues that came up during the move are communicated directly to you, not left for the executive to discover.

After Move-In: Close It Out Properly

A relocation is not done when the truck leaves.

Conduct a full unit walkthrough within 24 hours and document anything that changed during the move. File any insurance claims immediately. Most policies have strict windows, and waiting costs you recovery options. Update the executive's address with financial institutions, legal counsel, government agencies, and any entities that send sensitive correspondence. Test every smart home system, security setup, and automated feature before the executive arrives if possible.

And if the executive has household staff starting in the new residence, make sure they have building access credentials, parking arrangements, and the property management contact sorted before their first day.
