A Certificate of Insurance is a document your moving company provides that proves they carry active insurance coverage. It names the building, the HOA, or the property management company as an additional insured party. Which means if your movers damage the lobby, scratch the elevator, or cause any property damage during the move, the building has legal standing to file a claim directly against the mover's policy.
Luxury buildings require COIs because their common areas, elevators, flooring, and finishes are expensive to repair and even more expensive to replace. A single deep scratch on a marble lobby floor can cost thousands of dollars. A damaged elevator panel in a high-rise can put the elevator out of service for days and affect hundreds of residents. The COI is the building's protection, and increasingly it is the first thing a property manager asks for when you submit a move-in request.
While every building has its own specific requirements, COI requirements across Miami's top luxury condos follow a fairly consistent pattern. Here is what most property managers are looking for:
Some buildings, particularly in the Porsche Design Tower, Residences by Armani Casa, and Aston Martin Residences tier, add requirements on top of these basics. Including cargo insurance minimums, elevator padding certifications. And in some cases a pre-move walkthrough with the property manager before the COI is even accepted.
Not all luxury buildings enforce COI requirements with equal intensity. Based on our direct experience coordinating moves across Miami, these are the categories where you will encounter the most detailed requirements and the least flexibility on documentation.
Ultra-luxury branded residences in Sunny Isles and Edgewater, including Porsche Design Tower, Armani Casa, and Regalia, are the most demanding. Property managers at these buildings often have a specific COI template they require movers to fill out. And they review the documentation carefully before approving a move date. Arriving with a generic COI that does not match their format is a common reason move-ins get delayed.
Brickell's newer towers, including SLS Lux, Brickell Flatiron, and One Thousand Museum, have become increasingly strict in the last three years as property damage claims from under-insured movers have led management companies to tighten their standards. Several now require the COI to be submitted a minimum of 72 hours before the scheduled move.
Icon, Jade, and the older generation of South Beach luxury buildings have established COI requirements that are well-documented. But generally more standardized and easier to navigate than the newer ultra-luxury tier.
This is where moves fall apart, and it happens more often than people expect. A mover who cannot produce a compliant COI on the building's timeline creates a cascading problem. Your elevator reservation gets cancelled. The building's loading dock window closes. You may lose your move-in date entirely and have to reschedule, sometimes weeks out in buildings with high move-in traffic.
Some buildings will hold your belongings in a staging area while the documentation issue gets resolved. Others will simply not allow the crew past the lobby. In either case, you are paying your moving crew to stand around while the paperwork situation gets sorted. And in some cases you are paying for a second move date on top of the first.
The right mover will have their COI ready, will know exactly what each building requires. And will submit the documentation proactively rather than waiting to be asked.
